Integrated Email Messaging and Notifications

Integrated email messaging and notifications allows you to easily communicate with your learners. Triggers can be setup to determine who receives a message, what users and courses qualify for a message, when a message is sent, and what action in the LMS initiates the message. Examples of email messages can be on course completion, classroom schedule changes, or immediate sends of urgent news. Learners will receive messages to their profile’s email address as well as access their messages on the Home page of the LMS.


 
Title – Provide a Message Schedule title that is informational and meaningful. As your list of Messages grows, it is helpful to be able to understand what each Message Schedule does by reading its title.
Trigger – The Trigger area identifies the action which starts the message send. In other words, what must happen in the LMS for a message to be sent to the recipient? The matrix of triggers was created to make a simple and quick selection process for the Administrator. 

For example, if the radio dial across from Resource and directly below Completed is selected, then the trigger for the Message Schedule will be when a User completes an online course or is set completed in a classroom event.
 

Additional Filters – This section is where Administrators define which users and courses will qualify to send the message. . First choose the User Group, then the Resource Group. As an Administrator you can choose groups that are “high” in your structure so that the message qualifies for many objects. Alternatively, you can select a targeted set of groups and apply the Message Schedule to a very select few Users and/or Resources.
Recipients – Recipients are the LMS Users who will receive the message. You define recipients by the role that they possess. A User is the person taking the online course or attending the classroom event. An Instructor is an LMS User that has been assigned to teach the related classroom event. An Administrator is an LMS User who has been assigned elevated privileges over the specified User Group. A Supervisor is an LMS User who has been assigned the Supervisor status over a User or User Group.

Note: LMS Users can possess multiple roles (for example when an Administrator is the
User completing an online course), however they will not receive multiple emails when
the message is sent.
Message Body – You can set the From Address to an address which is more recognizable by your User-base. Fill in a meaningful Subject value to sum up the purpose of your email message. The Message Body is the actual text of your email message. During the creation process you can view and edit your message text in a variety of modes such as Design, HTML, and Preview .

This area is capable of creating rich text by using the format toolbar as well as entry of “Replacement Fields”. Replacement Fields are dynamic text which, during the send of a message, will change to reflect the desired LMS value. For example, it would be an impossible task to create a course completion message for each combination of User and Course in your company. Through the use of Email Replacement Fields, you can create a single message which dynamically inserts the User and Course name when the message is sent! To use a replacement field, simply select it from the drop-down list.
